This privacy policy ("Policy") describes how the personally identifiable information ("Personal Information") you may provide on the Mailphantom website ("Mailphantom", "Website" or "Service") and any of its related products and services (collectively, "services" or "Mailphantom") is collected, protected and used. It also describes the choices available to you regarding our use of your Personal Information and how you can access and update this information. This Policy is a legally binding agreement between you ("User", "you" or "your") and this Website operator ("Mailphantom", "we", "us" or "our"). By accessing and using Mailphantom, you acknowledge that you have read, understood, and agree to be bound by the terms of this Policy. This Policy does not apply to the practices of companies that we do not own or control, or to individuals that we do not employ or manage.

Automatic collection of information

When you register an account or create a phantom email address, we record the IP address from which the request originated. This is necessary to operate the Service and to protect it from abuse.

This information is used to:

  • Operate, secure and maintain Mailphantom
  • Detect, investigate and prevent abuse, fraud, and policy violations
  • Comply with legal obligations and respond to lawful requests

This information is not used for advertising, behavioural profiling, or sale to third parties. It is not aggregated or disclosed in a manner that would identify any particular user, except as set out in this Policy.

Collection of personal information

As part of your Account information, Mailphantom collects and stores information, including the full name and email address for all users upon registration and use of the Services. You acknowledge that this information may be personal to you, and by creating an Account on Mailphantom and providing Personal Information to us, you allow us, our service providers and our contractors to identify you and, therefore, your use of the Website may not be anonymous.

Users who are uncertain about what information is deemed mandatory are welcome to contact us.

Use and processing of collected information

In order to make Mailphantom available to you, or to meet a legal obligation, we need to collect and use certain Personal Information. Any of the information we collect from you may be used for the following purposes:

  • Create and manage user accounts
  • Enforce terms and conditions and policies
  • Protect from abuse and malicious users
  • Respond to legal requests and prevent harm
  • Run and operate Mailphantom

Processing of payments

We do not collect or process your credit or debit card details, however, we use third party payment processing companies ("Payment Processors") who collect and store financial information, such as your payment method (valid credit card number, type, expiration date or other financial information), and their use and storage of that information is governed by the Payment Processors' applicable terms of service and privacy policy. Collected billing information is used for the purposes of processing billing payments and fraud detection. However, we may from time to time request and receive some of your financial information from our Payment Processors for the purposes of completing transactions you have initiated through Mailphantom, protecting against or identifying possible fraudulent transactions, and otherwise as needed to manage our business.

Managing information

You have the right to access and correct, amend or delete your Personal Information held by Mailphantom. If you are a registered user, you can do so on the profile page of your account.

If you terminate your Account, any association between your Account and information we store will no longer be accessible except in cases where fraudulent or otherwise illegal activity has been deemed to have occurred as determined by law enforcement or Mailphantom, in which case such information may remain in Mailphantom's database for the purposes of addressing any such fraudulent or otherwise illegal activity.

Disclosure of information

Depending on the requested Services or as necessary to complete any transaction or provide any service you have requested, we may share your information with your consent with our trusted third parties that work with us, any other affiliates and subsidiaries we rely upon to assist in the operation of Mailphantom available to you. We do not share Personal Information with unaffiliated third parties. These service providers are not authorized to use or disclose your information except as necessary to perform services on our behalf or to comply with legal requirements. We may share your Personal Information for these purposes only with third parties whose privacy policies are consistent with ours or who agree to abide by our policies with respect to Personal Information. These third parties are only given Personal Information they need in order to perform their designated functions, and we do not authorize them to use or disclose Personal Information for their own marketing or other purposes.

We will disclose any Personal Information we collect, use or receive if required or permitted by law, such as to comply with a subpoena, or similar legal process, and when we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.

Retention of information

We retain your account information and associated technical log data (including IP addresses captured at registration and at phantom creation) for the duration of your account.

If you close your account, we retain your information for 90 days after closure and then permanently delete it.

If your account becomes inactive (no active subscription or trial), we retain your information for 12 months after the date of inactivity and then permanently delete it. We send you a reminder email 30 days before that deletion.

These retention periods may be extended where a longer retention period is required by law, where we are actively investigating suspected abuse, fraud, or a security incident, or where we are responding to a legal request.

Transfer of information

Depending on your location, data transfers may involve transferring and storing your information in a country other than your own. Mailphantom may process or store your Personal Information outside the jurisdiction in which you reside and, if it does so, your Personal Information will be governed by the privacy laws of the jurisdiction in which it is processed or stored and government and law enforcement agencies of that jurisdiction may be able to access such Personal Information without your consent.

Business Transactions

If Mailphantom engages in a merger, acquisition, bankruptcy, dissolution, reorganisation, sale of some or all of Mailphantom's assets or stock, financing, public offering of securities, acquisition of all or a portion of our business, a similar transaction or proceeding or steps in contemplation of such activities, some or all Other Information may be shared or transferred, subject to standard confidentiality arrangements.

Cookie Policy

To collect the minimal necessary information to maintain Mailphantom, a "cookie" may be set on your computer. Cookies store a small amount of information to collect and track information and to improve and analyze Mailphantom.

You can instruct your browser to refuse all Cookies or to indicate when a Cookie is being sent. However, if you do not accept Cookies, you may not be able to use some parts of Mailphantom.

Cookies can be "Persistent" or "Session" Cookies. Persistent Cookies remain on your personal computer or mobile device when you go offline, to identify if users have accepted the use of cookies on the Website as well as to allow us to remember choices you make when you use Mailphantom, such as remembering your login details. Session Cookies are deleted as soon as you close your web browser and are essential to provide you with services available through Mailphantom and to enable you to use some of its features. They help to authenticate users and prevent fraudulent use of user accounts. Without these Cookies, the services that you have asked for cannot be provided, and we only use these Cookies to provide you with those services.

Privacy of children

We do not knowingly collect any Personal Information from children under the age of 13. If you are under the age of 13, please do not submit any Personal Information to Mailphantom. We encourage parents and legal guardians to monitor their children's Internet usage and to help enforce this Policy by instructing their children never to provide Personal Information to Mailphantom without their permission. If you have reason to believe that a child under the age of 13 has provided Personal Information to us through the Website and Services, please contact us.

Information security

We secure information you provide on computer servers in a controlled, secure environment, protected from unauthorized access, use, or disclosure. We maintain reasonable administrative, technical, and physical safeguards in an effort to protect against unauthorized access, use, modification, and disclosure of Personal Information in its control and custody. However, no data transmission over the Internet or wireless network can be guaranteed. Therefore, while we strive to protect your Personal Information, you acknowledge that (i) there are security and privacy limitations of the Internet which are beyond our control; (ii) the security, integrity, and privacy of any and all information and data exchanged between you and the Website and Services cannot be guaranteed; and (iii) any such information and data may be viewed or tampered with in transit by a third party, despite our best efforts.

Data breach

In the event we become aware that the security of Mailphantom has been compromised or users' Personal Information has been disclosed to unrelated third parties as a result of external activity, including, but not limited to, security attacks or fraud, we reserve the right to take reasonably appropriate measures, including, but not limited to, investigation and reporting, as well as notification to and cooperation with law enforcement authorities. In the event of a data breach, we will make reasonable efforts to notify affected individuals if we believe that there is a reasonable risk of harm to the user as a result of the breach or if notice is otherwise required by law. When we do, we will post a notice on the Website.

Email Processing

We use a third party email provider to process all Mailphantom emails on our behalf and are obligated not to disclose or use it for any other purpose. This data is retained only for the purposes of delivering the email and providing us with information should there be a problem with the delivery.

Email Communications

Mailphantom may send occasional communication to you via email. We try to respect your time and attention by controlling the frequency of our mailings. Each email sent contains an easy way for you to cease receiving email from us. If you wish to do this, simply follow the instructions found at the end of any email. If you have received an unwanted, unsolicited email sent via this system or purporting to be sent via this system, please forward a copy of that email with your comments to privacy@mailphantom.io. Regardless, we reserve the right to contact you for informational or account-related purposes when we believe it is necessary.

Changes and amendments

We reserve the right to modify this Policy or its terms relating to Mailphantom from time to time in our discretion and will notify you of any material changes to the way in which we treat Personal Information. When we do, we will revise the updated date at the bottom of this page. We may also provide notice to you in other ways in our discretion, such as through contact information you have provided. Any updated version of this Policy will be effective immediately upon the posting of the revised Policy unless otherwise specified. Your continued use of Mailphantom after the effective date of the revised Policy (or such other act specified at that time) will constitute your consent to those changes. However, we will not, without your consent, use your Personal Information in a manner materially different than what was stated at the time your Personal Information was collected.

You acknowledge that you have read this Policy and agree to all its terms and conditions. By accessing and using Mailphantom you agree to be bound by this Policy. If you do not agree to abide by the terms of this Policy, you are not authorized to access or use Mailphantom.
